Build automated invoice processing in Python with a review step.

Collect invoice PDFs from Gmail, extract fields, and return records your team can check before they reach the ledger. qbash hosts the intake and lets you share the review output.

Meet qbash Tasks

Your Python, deployed and ready for your team.

A Task is a cloud-hosted Python function. Write your automation, save to deploy, and give your team a way to run it.

How Tasks work
  • Cloud-hosted

    Your function runs on qbash. No server to provision.

  • Built in Python

    Write the logic, call integrations, and decide what AI handles.

  • Multi-model

    Choose the model for each AI step in your function.

  • Versions & logs

    Review code changes, restore versions, and inspect each run.

  • Auto-deploy

    Save your Task to make the new version live.

  • Run anywhere

    Call it from a form, API, Slack, or AI chat. Schedule it, too.

Process invoices into a review batch before writing to the ledger.

The script follows Gmail page tokens and checkpoints individual extractions. It returns source identifiers and extracted fields without writing financial records.

Before you run this example
  1. Connect Gmail and a model. Declare gmail_query and mailbox_key as required Text inputs. Use a stable mailbox identifier such as ap-primary.
  2. Use a bounded Gmail query, for example subject:invoice has:attachment filename:pdf after:2026/09/01 before:2026/09/08. The example accepts at most 200 messages and fails if the query is broader.
  3. This extraction expects one PDF containing one invoice per email. Messages with multiple attachments are returned for manual review. A reviewer must also check for multiple invoices bundled inside one PDF.

  • All attachments are inspected before extraction. Unsupported attachment layouts get an explicit review status.
  • Nullable fields make missing data representable. A schema constrains the response shape, not the truth of extracted amounts or vendor identities.
  • The message list is pinned for retries of this execution. A new run performs the search again. It is not an automatic successful-processing watermark.
  • Review the vendor, invoice number, currency and amount against the source PDF before using the separate write Task below.

When custom Python is useful

Use an existing accounts-payable workflow when it fits. A custom Task is useful when your intake rules, validation or delivery need Python you control.

    Put this automation to work with qbash.

    Connect the example to the way your team uses it.

    Write the exact invoice a reviewer approved

    Use this as a separate Task with an approved_invoice_json Text input and a Postgres connection. Create invoices with supplier_id, invoice_number, vendor_name, currency and source_key text columns, total_amount numeric, and a UNIQUE(supplier_id, invoice_number) constraint. A reviewer supplies a stable supplier_id from your supplier register and a source_key made from mailbox, message and attachment IDs. Two suppliers may use the same invoice number. An existing invoice returns already_exists for comparison rather than being overwritten.

    save-approved-invoice.py
    # Separate write Task. The reviewer supplies exact, corrected values.
    row = json.loads(qbash.inputs.get("approved_invoice_json") or "{}")
    for key in ["supplier_id", "invoice_number", "vendor_name", "currency", "source_key"]:
        if not isinstance(row.get(key), str) or not row[key].strip():
            raise ValueError(f"Missing reviewed field: {key}")
    if type(row.get("total_amount")) not in (int, float) or row["total_amount"] < 0:
        raise ValueError("total_amount must be a non-negative number.")
    if not re.fullmatch(r"[A-Z]{3}", row["currency"]):
        raise ValueError("Use a three-letter currency code.")

    written = qbash.integrations.postgres.execute_query(
        query="INSERT INTO invoices "
              "(supplier_id, invoice_number, vendor_name, total_amount, currency, source_key) "
              "VALUES ($1, $2, $3, $4, $5, $6) "
              "ON CONFLICT (supplier_id, invoice_number) DO NOTHING "
              "RETURNING supplier_id, invoice_number",
        query_params=[row["supplier_id"], row["invoice_number"], row["vendor_name"],
                      row["total_amount"], row["currency"], row["source_key"]],
    )["result"]
    qbash.output({"status": "inserted" if written else "already_exists",
                  "supplier_id": row["supplier_id"], "invoice_number": row["invoice_number"]})

    Let finance run a bounded intake search

    Share the extraction Task with authorised finance teammates. The generated form accepts a Gmail query and returns a review batch. MCP lets the same inputs and output work from Claude or ChatGPT. Restrict the separate write Task to people allowed to post approved records.

    Schedule collection with an explicit replay policy

    qbash can schedule the extraction with saved input values. For ongoing intake, use overlapping date windows plus a persistent source ledger, or a cursor you advance only after a complete window is processed. Checkpoints recover a retry of the same execution. They do not deduplicate separate scheduled runs.

    Questions

    Does this automatically approve an invoice?

    No. Extraction returns review candidates. The separate write Task takes the exact reviewed payload, including a supplier identity supplied by the reviewer.

    Can it handle scanned PDFs?

    The AI call receives the PDF attachment. Extraction support and quality depend on the selected model and document. Test representative scans. This example does not implement the hybrid page router shown on the PDF extraction page.

    Can several invoices arrive in one email?

    This example flags multiple attachments for review. It also assumes a single invoice inside the PDF. For bundled invoices, split them or use an array-of-invoices schema and preserve source identity for each result.

    What prevents duplicate ledger rows?

    A supplier-and-invoice-number unique constraint handles repeated inserts of the same business invoice. The write reports an existing row rather than updating it. Source-message deduplication and correction workflows need their own persistent records.

    When is an accounts-payable product a better fit?

    Use a specialist product when you want its built-in review queue, approval workflow and accounting UI. This example supplies custom extraction and a separately controlled write step. It does not create a complete accounts-payable application.

    Can I deliver to Xero instead?

    You can add an accounting integration after mapping the reviewed supplier and line items to its required fields. The code here only demonstrates a Postgres write.

    Competitor details reviewed . Vendors change plans and features without notice, so check theirs before deciding.
